Quick answer

For most small and mid-size offices, a visitor management system replaces the paper logbook with a tablet or phone check-in, prints badges, alerts the host and stores signed NDAs. Sign In App has the lowest published paid price here at $630 per site per year [1]. Greetly starts at $99 a month billed yearly with unlimited check-ins [2]. Envoy is the only one with a free plan, capped at 100 entries a month [3].

A visitor log used to be a clipboard at the front desk. Today it also means pre-registering guests, screening them, getting NDAs signed and knowing who is in the building if the fire alarm goes off. This guide explains what a visitor management system does for an office and compares five options for small and mid-size teams.

How we chose

We compared five visitor management software products on what their own websites say: published pricing, what each plan includes, and the security and compliance features that matter to an office (badges, NDAs, watchlists, ID checks, evacuation lists). This is a desk review of vendor pages checked on 2026-11-08, not hands-on testing. Two well-known names have changed: Proxyclick is now Eptura Visitor [4], and SwipedOn "is now part of Sign In App" [5], so each appears under its current name. We left out Sign In Enterprise, formerly Traction Guest, which has been renamed Sign In Solutions and is pitched at "global enterprises" [6]. Envoy is an affiliate partner of ours; that did not affect its position or how we describe it.

What a visitor management system does for an office

The core visitor management system features are:

  • Sign-in and pre-registration. Guests check in on a kiosk iPad, a QR code or their phone, and hosts can invite them in advance.
  • Badges. A printed badge makes visitors easy to spot.
  • Host alerts. The host gets a message the moment a guest checks in.
  • Documents and NDAs. Visitors sign legal documents on screen, stored with the visit record.
  • Watchlists and ID checks. The system flags people who should not be admitted and can scan an ID.
  • Compliance and safety records. A searchable log of who was on site, plus an evacuation list.

Not every plan includes all six. Badge printing, NDAs and ID scanning are often in a higher tier, so check the plan, not just the product.

Comparison table

Product Best for Starting price Notable
Sign In App Single offices that want a low fixed price per site $630 per site/year (Core) [1] Unlimited employees, monthly sign-ins and iPads per site [1]
Greetly Small offices that want watchlists and e-signatures on the entry plan $99/month billed yearly (Essential) [2] Watchlist alerts and online document signing on Essential [2]
Envoy Teams that want to start free, or regulated sites that need ID scanning Free (Basic); Premium $362 per location/month billed annually [3] 100+ integrations and an open API [7]
FacilityOS VisitorOS Facilities that want hardware included Starting at $225/month (Corporate) [8] A 10.9" iPad with mounting bracket is included [8]
Eptura Visitor Multi-site companies with security teams Quote only; annual subscription by location [9] Facial recognition at check-in [10]

Sign In App — the simplest per-site price

Sign In App (image: signinapp.com)
Sign In App (image: signinapp.com)

Sign In App describes itself as uniting "visitor management, employee sign-in, workspaces, and compliance in one connected platform" [11]. SwipedOn is now part of Sign In App, and the combined platform is "not live yet" [5].

Verified features: Every plan includes contactless sign-in, pre-registrations and approvals, delivery sign-in, smartphone sign-in on iOS, Android and web, and "Live shared evacuation reports" [1]. Integrations listed for all plans include Azure AD / Entra ID, Google Workspace, MS Teams and Slack, custom webhooks and an API [1]. The Enhanced plan adds a pre-visit registration portal, ID scanning and unlimited SMS [1].

Pricing: In US dollars, Core is $630, Enhanced is $1,260 and Pro is $1,890, each "per site / year"; an Executive tier is quote-based [1]. There is a "free 15 day trial - No credit card required" [1].

Strengths: Each site subscription includes unlimited employees, portal users, monthly sign-ins and connected iPads [1], so a busy single office pays the same as a quiet one. At $630 a year, Core works out to about $52.50 a month.

Limitations: "Each location or office with a different postcode or zip code requires its own site subscription" [1], so costs scale with addresses. ID scanning is not in Core, and SSO and SCIM only arrive with Pro [1]. If you are a SwipedOn customer, the merged product is still in progress [5].

Best fit: A one- or two-location office that wants a predictable annual bill and does not need ID scanning on day one.

Greetly — watchlists and e-signatures on the entry plan

Greetly (image: greetly.com)
Greetly (image: greetly.com)

Greetly is a visitor management system "powered by OfficeSpace" that teams use to "check in guests and deliveries, notify employees" [12].

Verified features: The Essential plan includes unlimited users, check-ins and hosts, touchless check-in, multi-channel notifications "(email, text, Slack, Google chat, Teams)", "Watchlist & Co-pilot alerts", visitor photos, online document signing and emergency evacuation support [2].

Pricing: Essential is $99/month and the higher tier, labeled Pro in the plan comparison, is $159/month, both "Billed Yearly" [2].

Strengths: Watchlist checks and e-signatures are on the cheapest plan. Pro adds visitor badge printing, government-issued ID verification, US driver's license scanning, a digital mailroom and multi-kiosk support [2].

Limitations: Badge printing is a Pro feature, not Essential [2], and badges are something most offices want. The pricing page does not say whether a plan covers one location or several, so confirm that in a demo.

Best fit: A small office that wants watchlist alerts and signed NDAs without paying for an upper tier.

Envoy — free to start, strongest on regulated sites

Envoy (image: envoy.com)
Envoy (image: envoy.com)

Envoy is a broader workplace platform that also covers desks, rooms, parking, mailroom and emergency response [7]. Its visitor product handles "pre-registration and screening to secure check-in and audit-ready records" [3].

Verified features: All plans notify hosts when visitors arrive, support multiple sign-in kiosks and offer 31 languages [3]. Premium adds badge printing, visitor photos, legal documents, a virtual front desk, and SSO and directory integrations [3]. Enterprise adds blocklist scanning, access control integrations and ID scanning with "500 scans/year included" [3]. Envoy cites support for regulations "like ITAR, CMMC, EAR, OFAC, and C-TPAT" [7].

Pricing: Basic is free "With limited features": host notifications, up to 50 employees and 100 entries a month [3]. Premium is "$362 per location/month billed annually", and Enterprise is custom [3].

Strengths: It is the only free visitor management system in this list, and the "100+ integrations" plus an open API [7] suit companies with an existing stack. Enterprise covers blocklists, ID checks and access control for regulated sites.

Limitations: Envoy is the most expensive published paid plan here. Premium at $362 per location per month is well above Greetly's $159 Pro tier and Sign In App's $1,890-a-year Pro plan [3, 2, 1]. Badge printing and NDAs are not in the free plan, and blocklist scanning and ID scanning require Enterprise, which has no public price [3].

Best fit: A small team that wants to replace paper for free, or a regulated, multi-site company ready to pay for Enterprise controls.

Try Envoy

FacilityOS VisitorOS — hardware included, built for facilities

FacilityOS VisitorOS (image: facilityos.com)
FacilityOS VisitorOS (image: facilityos.com)

FacilityOS (the old iLobby web address now redirects here [13]) sells VisitorOS as one module of a facility platform; VisitorOS "streamlines check-ins with fast pre-registration, ID scanning, and badge printing" [13].

Verified features: The Corporate tier includes unlimited users, visitors and sign-ins, unlimited SMS, email and call notifications, SSO, and storage for "Legal & compliance documents (such as NDAs)" [8]. Enterprise adds watchlists and visitor screening "against global watchlists and US criminal and sex offender databases" [8].

Pricing: VisitorOS Corporate starts at $225/month and Enhanced at $299/month; Enterprise is quote-based [8].

Strengths: Corporate includes a 10.9" iPad enrolled in mobile device management with "a secure anti-theft mounting bracket", plus ongoing hardware repairs and support [8], which removes a purchase other vendors leave to you.

Limitations: Badge printing, touchless sign-in and pre-registration start at Enhanced, and watchlists are an Enterprise feature [8], so a security-minded office pays more than the headline price. Slack and Microsoft Teams host notifications are listed as optional add-ons for Corporate rather than included [8].

Best fit: A plant, warehouse or office building that wants a managed kiosk and plans to add contractor or mailroom tracking later.

Eptura Visitor — enterprise security, quote-only pricing

Eptura Visitor (image: eptura.com)
Eptura Visitor (image: eptura.com)

Eptura Visitor is the former Proxyclick: "In 2025, Proxyclick became Eptura Visitor" [4]. It "supports pre-registration, check-in, access control, and reporting" across locations [10].

Verified features: Self-service kiosks, touchless check-in and host notifications; "Watchlists, approval flows, and access permissions"; data retention and deletion controls; and emergency communications with digital roll calls [10]. It also offers facial recognition at check-in [10].

Pricing: No public price. Eptura sells an annual subscription "based on the number of users supported (or locations for Eptura Visitor)", and agreements "are no less than one year" [9].

Strengths: Strong on multi-site control: it "standardizes visitor workflows across locations while allowing central configuration" [10].

Limitations: You cannot see a price without a demo, and the one-year minimum [9] is a bigger commitment than a monthly plan. For a single small office it is likely more platform than needed.

Best fit: A mid-size or larger company with several sites and a security team that wants central policy control.

How to choose a visitor management system for your office

List which of the six jobs above you need on day one, then check which plan includes them.

  1. Price by location, not by seat. Sign In App, Envoy and Eptura all price per site or location [1, 3, 9]. If you have three small offices, multiply before you compare.
  2. Check where badges and NDAs sit. Envoy puts both in Premium [3]; Greetly includes document signing on Essential but badges on Pro [2].
  3. Decide whether you need ID scanning or watchlists. If you host contractors, deliveries or the public, these matter. They usually sit in mid or top tiers.
  4. Plan the hardware. Most products run on an iPad kiosk you supply; FacilityOS includes one [8]. Envoy's Premium plan also lets visitors "sign in by scanning a QR code, no iPad required" [3].
  5. Think about where the data goes next. If you want visits logged against accounts in your CRM, our custom CRM development and Salesforce consulting teams build that kind of integration, and our guide to choosing custom, Salesforce or off-the-shelf CRM covers the trade-offs.

A cloud based visitor management system is the norm now, so the real differences are plan limits, per-location pricing and contract length.

FAQ

How much does a visitor management system cost?

Published prices range from free to several hundred dollars a month per location. Envoy Basic is free, and Envoy Premium is $362 per location per month billed annually [3]. Sign In App costs $630 to $1,890 per site per year [1], Greetly is $99 or $159 a month billed yearly [2], and FacilityOS VisitorOS starts at $225 a month [8]. Eptura Visitor is quote-only [9].

Is there a free visitor management system?

Envoy's Basic plan is free with limited features: host notifications, up to 50 employees and 100 entries per month [3]. Sign In App offers a free 15-day trial with no credit card required [1].

Do I need an iPad for a visitor management system?

Not always. Sign In App supports smartphone sign-in on iOS, Android and web [1], and Envoy Premium lets visitors sign in by scanning a QR code with no iPad required [3]. FacilityOS includes a 10.9" iPad with its Corporate plan [8].

Which visitor management software checks visitors against a watchlist?

Greetly includes watchlist alerts on its Essential plan [2]. Envoy offers blocklist scanning on Enterprise [3], FacilityOS lists watchlists and visitor screening in its Enterprise tier [8], and Eptura Visitor includes watchlists and approval flows [10].

Our recommendation

For a single small office, start with Sign In App Core if you want the lowest fixed annual price [1], or Greetly Essential if watchlists and signed NDAs matter from day one [2]. If you want to try digital sign-in at no cost, Envoy Basic is free up to 100 entries a month [3], and its Enterprise tier is the better fit for regulated sites, though it costs more than the others. Facilities wanting a managed kiosk should look at FacilityOS; multi-site companies should get an Eptura Visitor quote.
